Courses and Events Terms & Conditions

  1. Availability of Places
    1.1 Places on courses provided by the British Association for Immediate Care (the Association) are limited and will be allocated on a first come first served basis. Courses may be booked by telephone or via our website.
  2. Course Fees
    2.1 Full payment is required before your course place can be confirmed unless payment by instalments or assisted payment conditions have been pre-approved.
    • Where payment by instalments or assisted payment conditions have been pre-approved a £35.00 administration fee will be charged to the individual undertaking the course.
    • In all cases the final payment should be made before the course commencement date so that your place can be confirmed. Should we not receive final payment before the commencement of the course your place will be cancelled and subject to normal cancellation fees detailed in clause 6 below.
    • We will not charge additional fees for payment by personal credit or debit card. We do however reserve the right to charge an additional fee of 1.8% for commercial (company) or international credit/debit cards to cover the transaction costs we are charged.
  3. Bespoke Courses and Events
    3.1 Where you contract for a bespoke course or event, the payment conditions are:
    • At our discretion, we reserve the right to require a booking deposit to cover any loss or liability in making arrangements for the course or event.
    • The course or event is confirmed on receipt of the full and final payment.
    • Where settlement is in breach of the above, we reserve the right to withdraw all previous discounts, acting reasonably and proportionately.
  4. Membership Discount
    4.1 Where offered, membership discounts will only be applied to courses subject to the following terms:
    • A full year’s membership subscription has been paid, either prior to or at the time of the course enrolment.
    • Membership subscriptions purchased alongside course enrolment may be non-refundable should you cancel your course for any reason.
    4.2 Should you decide to book a course at the members discount having not paid the full year’s membership we will seek to resolve matters as follows:
    • We will email you asking you to upgrade your membership subscription as per 4.1 within 10-working days.
    • If you have not upgraded your membership subscription after 5-working days, we will cancel the course and apply the cancellation charges detailed in clause 6 below.
  5. Pre-Course Booking Requirements
    5.1 Our courses all have pre-course booking requirements. It is important that any variance in these is discussed and your suitability for the course confirmed by the Association’s course booking team prior to booking your place.
    • Should you not fulfil the pre-course booking criteria you may be asked to leave the course by the course director without any refund of your fees paid. We will act reasonably and proportionately, for example where allowing you to continue on the course would negatively impact the other course participants learning experience and remedial teaching of any specified pre-course skills and knowledge is not possible.
  6. Cancellation
    6.1 We understand that from time to time it is necessary to alter your plans, however, our costs include outlay to the venues and other suppliers, and we need to ensure that we do not operate in deficit.  In such instances, the following cancellation charges will apply:
    • Cancellation up to 12 weeks before course date – £35 administration charge.
    • Cancellation 8-12 weeks before course date – 35% of course fee.
    • Cancellation 4-8 weeks before course date – 65% of course fee.
    • Cancellation within 4-weeks of course date – no refund.
    Cancellation charges reflect our reasonable estimate of losses incurred and we will not charge more than the actual loss suffered. Under the Consumer Contracts Regulations 2013, the 14-day cooling-off period does not apply to bookings for courses scheduled for a specific date.
    6.2 In addition to the above, any financial cost incurred from a third party to enable or facilitate bookings, services or products will be deductible at cost. Any such charges will be evidence-based and reasonable.
    6.3 You may nominate another person for your course place. If you do so a £35 administration charge may apply. No other cancellation charges will be made in this regard, providing that the nominated individual accepts these terms and conditions and any liabilities arising. Failure to do so, within 5-working days, will result in your place being considered as cancelled and, therefore, cancellation charges will be re-instated.
    6.4 If you wish to cancel the place you have been offered and transfer to a later course, the cancellation charges still apply. For example, if you notify us of the change up to 12 weeks before the course, the only charge will be a £35 administration fee. However, thereafter the percentage course cancellation fees as detailed above apply.
    6.5 Very occasionally, due to unforeseen circumstances beyond our control, we have to change the dates on which a course is run. In this unusual event you would be given as much notice as possible. Where you are unable to accommodate any of the alternative dates offered, we will provide you with a full refund. The Association can accept no liability for costs that individuals incur beyond the course fee (we are not responsible for indirect or consequential losses, except where required by law).
    6.6 You are advised to take out insurance to cover any travel or accommodation arrangements.
  7. Safe Working in the Pre-Hospital Environment
    7.1 Pre-hospital care, by definition, is largely practiced in adverse environments compared to the other clinical environments. The courses include significant components of outside working which will take place come rain or shine. You should come prepared for such eventualities with appropriate clothing and other accessories such as sun block, hat and sunglasses.
    7.2 Where possible, you should bring your usual pre-hospital PPE to wear whilst undertaking the practical components of the course. If undertaking the ICC or any course including RTC work, this should include appropriate foot attire, helmet and eye protection.
    7.3 You are responsible for informing course staff by email of any health impairments that may limit your ability to safely participate in the activities of the course prior to booking or if already booked as soon as possible following onset of impairment.
    • If your health condition does impair your full participation within the course, the course director may only be able to offer a certificate of attendance to you.
  8. Code of Conduct
    8.1 You are expected to behave in a professional manner at all times during the course. Students whose conduct falls short of this expectation may be asked to leave the course and no refund will be given.
    8.2 Should your negligent action result in any damage to the property of another, you will be held responsible for the necessary financial recompense to the third party or parties.
    8.3 You are required to observe all Health and Safety regulations on-site and respect any request made by the venues staff in respect to their own and others health, safety and welfare.
  9. Ongoing Communication
    9.1 Your contact details will only be used for communicating internal events and courses, including refresher training. If you wish you may opt out of this communication both at the time of booking and on receipt of any such communications.
