Conference Terms & Conditions

  1. Terms and conditions for our conferences
    1.1 All participants booking for a conference organised by the British Association for Immediate Care are bound by these terms and conditions.
  2. Membership status and the claiming of any discounts and grants
    2.1 Individuals joining the Association and current members claiming a discount and/or a grant for the conference should note that they must remain a member for 1-year and if membership is cancelled prior to this period expiring then they must repay in full the grant received along and/or the difference between the members discounted price as appropriate.
  3. Verification of your booking status
    3.1 Booking is accepted subject to the verification of your status (member, student, FPHC member etc).
    • Where this is incorrect an administration fee of £35.00 may be payable for amending your booking.
    • Where you choose not to amend your booking within 10-days of being notified your booking will be deemed cancelled and a refund issued as per para 4 below.
  4. Amending or cancelling your booking
    4.1 In all instances, a £35.00 administration fee will apply.
    • In addition to the above, any financial cost incurred from a third party to enable or facilitate bookings, services or products may, at our discretion, be deductible at cost.
    4.2 Where a group booking is to be amended a £35.00 administration fee will apply for each individual member of the group booking requiring amendment.
    • In addition to the above, any financial cost incurred from a third party to enable or facilitate bookings, services or products may, at our discretion, be deductible at cost.
    4.3 You are permitted to substitute another person for your place, on a like-for-like basis, in which case a £35.00 administration fee may apply.
    • Your refund will not be completed until your substitute has completed and paid for their booking. Where this does not occur, we will, at our discretion apply the cancellation fees as detailed below. In addition to the above, any financial cost incurred from a third party to enable or facilitate bookings, services or products may, at our discretion, be deductible at cost.
    4.4 The following will apply in the case of your cancellation without like-for like substitution:
    • Up to the end of Sunday 12th July 2026 – 100% refund less the administration charge.
    • Between the13th July – 9th August – 65% refund less the administration charge.
    • Between 10th August – 6th September – 35% refund less the administration charge.
    • After Monday 7th September – No refund is available.
    • In addition to the above, any financial cost incurred from a third party to enable or facilitate bookings, services or products may, at our discretion, be deductible at cost.
    4.5 In the very unlikely event we have to cancel the event we will of course provide a 100% refund of your fees paid to us. We are not liable for any associated costs for travel to or in regard to your attending the conference (we are not responsible for indirect or consequential losses, except where required by law).
  5. Booking Fees
    5.1 We will not charge additional fees for payment by personal credit or debit card. We do however reserve the right to charge an additional fee of 1.8% for commercial (company) or international credit/debit cards to cover the transaction costs we are charged.
